RE:       Summer 2009 Budget Allocation and Appointment Process

DATE:   December 17, 2008

 

Thank you for submitting your summer 2009 offerings to the registrar in October. We are reviewing your offerings as they appear in ASIS and we will be contacting departments in January with any questions that arise.

Three important points on Summer 2009 --

1. BRIO FOR SUMMER BUDGETS: DEADLINE JAN 9, 2009

As we did for summer 2008, we are going to administer summer 2009 budgets in BRIO/FAME again this year. One department administrator in each department has been given viewing access to that department's program Q in the summer org 10 95006.

If you have a new department administrator who needs access to view your summer budget, please send me an email by JANUARY 9th, 2009 with the following information:

NAME OF YOUR DEPARMENT

NAME AND NET ID of the one administrator (it should be the Director of Administration or the Department Administrator, in most cases) who will have viewing access to this budget in BRIO/FAME.

For those departments with summer study abroad programs, this access will include both the Q for abroad and the Q for on campus.

Please note that the summer budget chartfield above is to be used for approved summer courses only (undergraduate courses). Starting in summer

2009, salary lines for all instructors teaching MA courses have been removed from the summer budget and integrated into the departmental budget. Please call me at 992-9791 with any questions about this change for 2009.

2. ASIS FOR SUMMER APPOINTMENTS: DEADLINE JAN 30, 2009

We are using ASIS again this summer for all on campus and abroad courses for record keeping purposes. As soon as you know the instructor(s) of record for each course, please enter their names and the pay rate you intend to pay them into ASIS. PLEASE REMEMBER THAT PAPERWORK MUST BE SUBMITTED TO PAYROLL FOR ALL SUMMER APPOINTMENTS.

Please read the attached guidelines re: summer appointments, which explain how to determine summer pay rates. If you have questions calculating summer pay rates, please call either your fiscal analyst or me at 992 9791.

Please enter this salary information into ASIS before January 30, 2009, if possible. You will receive a reminder about this after the winter break.

Please also remember to notify me of any changes you make to ASIS regarding summer appointments. Remember that paperwork is required for all summer appointments (please see guidelines for details).

3. SUMMER APPOINMENTS DEADLNE MAR 6, 2009

The deadline this year will be MARCH 6, 2009 for all paperwork for summer appointments. Paperwork must be submitted to PAYROLL by that date.
